THE CHALLENGE
Two systems. One gap. And the cost was real.
UCLA Health runs ServiceNow as the system of engagement for HR services, with UCPath (PeopleSoft) serving as the authoritative HR system of record. In theory, these two platforms should work in concert. In practice, they weren’t talking to each other and the people caught in the middle were paying the price.
Every onboarding, position change, leave of absence, and separation required HR staff to manually re-enter data that already existed in ServiceNow into UCPath. It was repetitive, time-consuming work and because humans were the bridge between systems, errors crept in. The consequences weren’t abstract: overpayments, underpayments, dropped benefits, delayed final pay. Each mistake required investigation, reconciliation, and follow-up that pulled HR, timekeeping, and payroll teams away from work that actually mattered.
The system wasn’t failing because no one cared. It was failing because the tools weren’t connected.
THE SOLUTION
Real-time data flow. No manual handoffs.
UCLA Health partnered with Ondaro to design and implement an automated, uni-directional integration between ServiceNow and UCPath. The goal was to allow the data HR already captures in ServiceNow directly flows into the system of record, without anyone retyping it.
The integration covers the transactions where manual errors were most costly: employee onboarding, position and workforce changes, leaves of absence, and separations. When a manager initiates a workflow in ServiceNow, the integration handles the data transfer to UCPath automatically — in real time, with no transactor in the middle.
Before any development began, Ondaro led structured discovery and design workshops with UCLA Health’s teams. The goal was to map current-state processes precisely, identify where the gaps were causing the most friction, and define what success would actually look like. That investment upfront meant the integration was built around the way UCLA Health’s HR organization actually works, not around a template.
